Identifying the decision makers:
Usually a decision maker in a physician’s office is the Office manager Or the Practice Administrator. It is not too strange for a physician to make the decision too.
In case of large groups like IDN’s, Physician Networks, Hospitals or Clinic organizations, it is the Medical Records department that is dealing with the pain of transcription. Decision making in such places is a little spread out and shared. Medical Records Director, CFO, CEO/CMO or even the transcription manager could and will play a role in the decision making.

Quality:
Nearly all transcription companies advertise that they would provide 99% accuracy in the jobs performed by them. Unfortunately verifying this number is very difficult and time consuming. There are various models of calculating accuracy. In each of these models different types of errors are given different weights to start with. Documents are picked randomly and checked for errors. Finally a fancy formula is applied to the weighted errors and the number of lines checked for errors and a number is arrived at.
At TransDyne we do not believe in any of these models. Our model is client satisfaction. If the client is not satisfied with what we deliver, our quality is not up to the par. We currently have a few clients who consistently check on the quality using their own model and report back to the results to us. TransDyne is proud to claim above 99% accuracy on all such client quality analysis.
TransDyne has an internal benchmarking system integrated into its workflow system for internal quality control.
TransDyne offers clients a one week free no obligation trial to tryout our service. Though the idea behind the trial is to give the client a chance to look at our technology and also the quality being offered, the work performed in the first couple weeks of any new account is not a good sample of the quality clients get. It usually takes 2 to 4 weeks for the transcriptionist to tune themselves to voices and accents of the doctors dictating. The quality of jobs transcribed during the first few weeks gives clients a good estimate of what they can expect down the line and usually the free trail gives most clients to make the decision.
Note that the free trial is limited to one doctor per account for one week.
Slow turn around time:
“Every Transcription Company Offers 24 Hrs Tat.”
Unfortunately very few of the deliver it. Until recently 24 hour turn around time meant “You will get your reports back in 2 to 3 weeks”. Providers had to mark dictations as STAT (this is a term in the dictation/transcription world for Urgent, TAT of around 4 hours) and pay a premium in expectation of getting the report transcribed and returned back in a few days.
In the recent years with more and more companies off shoring and competing for business, service levels have improved a little and 24 hours is more like 2 or 3 days instead of 2 or 3 weeks.
TransDyne’s commitment:
Quality transcription service 24 hours a day, 7 days a week. TransDyne commits to the 24 Hr TAT and returns all jobs within 24 hours. Some clients request all jobs for a day to be returned as a batch. Hence we have the concept of returning all dictation received by 9:00 PM EST before 9:00 PM EST the following business day. Usually they are returned by the next afternoon. This option works very well for most physician offices, where they have an individual or a secretary downloading completed transcriptions, printing then and stuffing them in patient folders.
For larger practices and hospital systems that have electronic charting systems (EMR’s – Electronic medical record System) with capability to import transcribed reports, we automate and provide them with an option to request that documents be maid available for them with in 24 hours of receipt of voice files by us.
For clients requiring faster TAT than 24 hours, we customize our work flow and provide 12 hr, and 18 hr TAT’s at a slightly premium service rate.
It is very common for many clients to ask for an occasional dictation to be transcribed with in hours. We do this as a courtesy at no additional cost. If they have larger volumes of such requests, after carefully reviewing the volumes of such request we ask for a premium.
High Cost:
Transcription the cheaters business: If there is a business with more unethical businessmen than in the used car sales business, then it is the transcription business. Transcription companies have been taking advantage of clients inability to verify what they are being charged for and have been ripping of unsuspecting clients by inflating line counts or padding lines into documents. Go through the Pricing strategies section of the site and try to imagine how many different ways a transcription company could rip off a client.
TransDyne is proud to claim that, it has never over charged any of its clients and will never do so. Our pitch to a lot of clients comparing our cost to competitors 8 cents per line is “Our 10 cents per line is cheaper than their 8 cents per line”.
An easy way to prove this to a client is to ask them to provide us with a few documents that they have been billed for by the other service provider and compare the sample cost provided by us.
TransDyne Line Count Methodology
We define a line using the standard of 65 characters per line. Our definition of a character is any letter, number, symbol, punctuation or space. TransDyne does not count key strokes as characters. Nor do we count formatting such as Capitalization (on/off), Bolding (on/off), Italicizing (on/off), or Underlining (on/off) as characters.
Each invoice is accompanied with a detailed statement of documents transcribed in that billing period and the actual character count of each of the documents is provided to the client. (For large accounts this statement is provided on request.) The detailed statement enables the client to quickly and easily audit the invoice submitted by TransDyne.
Lack of good customer service:
Be it a multi-million dollar transcription business or small Mom and Pop shop, this industry has been lacking very much in professional customer service.

Digital recorders or PDA's: Users can use their PDA's or handheld digital recorders provided by TransDyne to dictate.
